We are currently seeking an Administration Managerto join DHL eCommerce in Thailand!

The Administration Manager will be responsible for providing efficient and effective administration support to the business unit, including liaising with relevant stakeholders on property lease agreements, procurement of general office equipment and materials for all locations, management of facilities as well as organizing staff activities and company events.

Essential Duties and Responsibilities

Vendor Management

  • Perform professional negotiations with vendors.

  • Develop and maintain good relationships with all external parties to ensure that DHL eCommerce receives the preferred treatment and enhance the unit cost position.

  • Develop and maintain relationship, manage performance and cost of key suppliers.

  • Ensure the performances of all vendors are in line with DHL standards.

  • Responsible for making the bookings for travel requests of the team.

  • Ensure that all suppliers comply with DHL’s Supplier Code of Conduct.

  • To coordinate with the landlord, property owners, legal representatives and building managements on new and existing lease agreements.

  • To manage company vehicle, car accident claim and any related expenses.

  • To plan and organize layout and space usage for all business locations, including coordinating for renovations.

Stakeholder Management

  • Produce information for management necessary for performance evaluation.

  • Provide Administration support in office such as collating information for reports.

  • Ensure that all procurement matters are cost effective.

  • Provide administration input or expertise for cross-functional and regional projects as required.

  • Handles licenses and matters relating to governmental regulatory policies.

  • Ensure that the Team is kept up to date on all issues relating to administration.

Process Management

  • Organize and maintain an up-to-date filling system that provides quick and efficient reference on administrative functions.

  • Coordinate with other functions and ensure that administrative office information and procedures are updated and compiled efficiently

Administration Activities

  • Organize staff activities and company events.

  • Provide an efficient administration structure.

  • Provide and maintain suitable operational and office facilities.

  • Manage the storage and stock levels of consumables and corporate items.

  • Improve administration practices, procedures, processes and policies.

Desired Skills / Qualifications

  • Good negotiation and interpersonal skills

  • Responsible, detail-minded, organized and willing to learn

  • Good communication skills, spoken and written in English and Thai.

  • Able to perform analytical work.

  • Time management skills.

  • Proficient in Microsoft programs such as Word, Excel and PowerPoint.

Minimum Educational Qualification

  • Bachelor Degree
